DEPOSITS AND BALANCE PAYMENT
The required deposit amounts differ for Asia and Europe tours. For Europe tours, a deposit of either RM3,900.00 or 20% of the total tour cost per person, whichever is greater, is mandatory upon booking. Meanwhile, for Asia tours, a deposit of either RM2,500.00 or 30% of the total tour cost per person, whichever is greater, is necessary at the time of booking. At our discretion, we may vary the deposit quantum for bookings made during peak periods and to special destinations. The balance of all money due, including any surcharges applicable at that time, must be paid to us not later than 45 days before departure. If the balance is not paid on time we may cancel your booking and apply the cancellation charges set out in the paragraph headed CANCELLATION CHARGES. 
    
LATE BOOKING
For bookings made less than 31 days before departure full payment must be made immediately before travel documents can be processed.

CANCELLATION CHARGES
Cancellation fees shall be imposed as follows:-

FOR GROUP TOUR PACKAGES:

a. 45 days or more before departure date – Forfeiture of tour deposit
b. 20 to 45 days from departure date – 50% of tour fare or Forfeiture of the tour deposit (whichever is higher)
c. 8 to 19 days from departure date – 80% of tour fare
d. Within 7 days from departure date or no show at the airport – 100% of tour fare

Accommodation Policy for China Tour

  • Triple Rooms:
    • For children aged 0-11 years old, an extra bed can be added depending on the parents’ request and subject to availability.
    • Children aged 8 years old and below may share a double bed with parents, depending on the parents’ preference.
    • Children aged 9-11 years old are required to have an extra bed and cannot share a bed with parents.
  • Extra Bed Comfort:
    • Please note that the extra bed in a triple room is not as comfortable as a double bed. We recommend booking a single supplement for more comfort.

Group Fees:

  • No Extra Bed: RM500 will be deducted from the group fee for children 0-11 years old not requiring an extra bed.
  • Extra Bed: RM300 will be deducted from the group fee for children 9-11 years old when an extra bed is required.

Infants (0-1 years old):

  • Group fee for infants (0-1 years old) is RM1200. Infants will sleep with parents, and no separate bed will be provided.

Accommodation Policy for European Tour

  • Children Aged 2-6 Years Old: These children may sleep with their parents. A deduction of RM1300 from the group fee will apply.
  • Children Aged 7-11 Years Old: These children cannot share a bed with parents and must have an extra bed. A deduction of RM500 from the group fee will apply.
  • Children Aged 12 Years Old or Above: Children aged 12 years or older will be considered as adults and will be charged the full adult price.

Infants (0-1 years old):

  • Group fee for infants (0-1 years old) is RM2500. Infants will sleep with parents, and no separate bed will be provided.

EXTENSION OF STAY
Extension of stay after the end of the tour is permitted subject to the maximum ticket validity. Such an extension will be used at your expense and must be arranged before departure. Transfer between hotel and airport on your departure date after the extended stay will not be provided.

AMENDMENT OF NAMES
Amendment to the names must be notified to us in writing at least 31 days before the departure date. The amendment is subject to approval by the airline.

DELAYS/FLIGHT
The timing of air, sea, road or rail departures is estimated only. We cannot be held liable or accept any liability for any delay on your flight whether the cancellation or delay is caused by adverse weather conditions, rescheduling by an airline, airport authority, and/or action by air traffic controllers, mechanical breakdown or industrial action. Where long flight delays result in lost holiday time, no refunds are given by hotels or suppliers. Similarly, airlines do not offer compensation for flight delays. 

ALTERATION OR CANCELLATION BY US
While we will use our best endeavours to operate all tours as advertised, we reserve the right to change any of the facilities, services, prices or itineraries described there. No compensation will be paid for alterations or cancellations caused by changes or cancellations to schedules by airlines, the number of people who have booked is less than that required for the tour package or any “Force Majeure”. “Force Majeure” includes (but is not limited to) war, threat of war, and riot. Civil disobedience or strife, industrial dispute, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, epidemics or health risk, level of water in the river, technical or maintenance problems with transport, closed or congested airport or ports, unforeseen operational decision of air carriers or any unforeseen or unavoidable event beyond our control.

TOUR LEADER
We will provide the service of an accompanying tour leader for a minimum group size of 16 adult passengers.

MINIMUM NUMBERS
Each tour is dependent upon a minimum number of persons participating. All our tour requires a minimum number of bookings before they will operate. Should we cancel the tour because of insufficient numbers, we will refund all money paid without further obligations or liabilities on our part and no compensation will be payable.

HOLIDAY PARTICIPATION
You agree to accept the authority and decisions of the Company’s employees, tour leaders and agents whilst on tour with the Company. If in the opinion of such person, your conduct during the tour appears likely to endanger the safe, comfortable or happy progress of the tour, you may be excluded from all or part of the tour. Should this happen to you, we cannot be held liable in any way. The person signing the booking form warrants that he/she has full authority to do so on behalf of all people whose names appear thereon, and confirms that all persons are fully aware of and accept these conditions.

 

TOUR MODIFICATIONS

Holiday Dreams Journey Sdn Bhd reserves the right to modify, reschedule, or cancel tours due to unforeseen circumstances, including but not limited to:

  • Pandemic or Health-related Emergencies: In the event of a pandemic, lockdown, or other health-related government restrictions, tours may be postponed, rescheduled, or canceled. If the tour is canceled or rescheduled, we will offer affected travelers the option to choose alternative dates or destinations. However, due to payments made to third-party service providers (e.g., airlines, hotels), we cannot guarantee a full refund. Any refund will be based on the refund policies of those third-party service providers, and travelers may only receive a partial refund or credit toward future travel.
  • Natural Disasters: In cases of natural disasters such as earthquakes, floods, hurricanes, or other catastrophic events that affect the safety or viability of the tour, we will offer alternative arrangements or reschedule the tour if possible. However, any payments made to third parties may not be refundable, depending on their cancellation policies.
  • Political Instability or Civil Unrest: If the destination is affected by political instability, civil unrest, or war, tours may be adjusted, rescheduled, or canceled. In such cases, refunds will be subject to the policies of the third-party suppliers involved.
  • Other Force Majeure Events: Any unforeseen circumstances or events beyond our control (e.g., strikes, travel restrictions, or significant disruptions) that impact the tour. In these cases, we will offer alternative dates or destinations, but refunds will be subject to the policies of the service providers involved.

Please note that in situations where a full refund is not possible due to third-party provider policies (e.g., airline tickets, hotel bookings, or other advance purchases), we will do our best to recover as much of the payment as possible and offer credit or rescheduling options for future tours.

  • Travel Insurance: It is strongly recommended that all travelers purchase comprehensive travel insurance to cover unexpected cancellations, medical emergencies, or disruptions, including those arising from force majeure events or pandemic-related circumstances. Insurance may provide additional protection for costs not refundable by the tour operator or third-party service providers.

  • Responsibility: Holiday Dreams Journey Sdn Bhd is not responsible for any injuries, losses, or damages incurred during the tour, nor is it responsible for any costs incurred due to changes in the itinerary caused by external circumstances. Travelers are advised to follow safety instructions and respect local laws and customs.

  • Tour Itinerary: The final itinerary will be provided closer to the departure date and may be subject to change based on operational needs, unforeseen events, or force majeure situations.

COMPLAINTS
Should you have a complaint about any of the tour arrangements you must tell both the relevant supplier and our representative at that time. It is only if we and the relevant supplier know about the problems that there will be an opportunity to put things right. Failure to complain on the spot will result in your ability to claim compensation being extinguished or at least reduced.

PASSPORT, VISAS, AND HEALTH REQUIREMENTS
It is your responsibility to ensure that you satisfy all applicable requirements and take with you all necessary documentation for the whole journey. We cannot be held liable if you fail to do this or be held responsible for any denial of boarding or entry into a destination due to improper documentation or whatever reasons and, if we suffer any loss or expense of such failure on your part, you will be obliged to reimburse us. 

ACTING AS AGENTS ONLY
We act only as an agent for carriers, transportation companies, hotels and other suppliers and will not be responsible for any losses, damages, accidents, change in the schedule or other irregularities caused or arising from circumstances beyond our control and have no liability for any death, personal injury or loss of whatever nature you may suffer. 

 

Membership Policy

  1. Membership Eligibility:
  • Membership is open to individuals aged 18 and above.
  • Available to both new and existing customers of Holiday Dreams Journey Sdn. Bhd.
  • Employees of Holiday Dreams Journey Sdn. Bhd. are not eligible for membership.
  1. Membership Benefits:
  • Enjoy exclusive discounts on inbound tours, outbound tours, incentive trips, private tours, and MICE packages.
  • Eligibility for gifts, upgrades, or additional perks, is communicated through official channels.
  1. Membership Fees:
  • First-time members joining a trip are charged RM 50 for access.
  • Regular members with a travel package in a year have automatic renewal with no RM 50 charges.
  • Regular members not travelling for a year or more must pay RM 50 to renew.
  1. Membership Duration:
  • Valid for one year from enrollment for regular members.
  • Lifetime membership for those who joined a trip provided positive social media feedback, and is subject to discretion.
  • Regular members can renew annually by paying applicable fees.
  1. Lifetime Member Recognition:
  • Appreciation for the continued support and positive contribution to the company’s image.

5.1 Social Media Engagement: – Encourage members to share experiences on social media for community growth.

5.2 Community Engagement Opportunities: – Highlight community events where members can actively participate.

5.3 Referral Program: – Consider introducing a referral program for additional benefits.

  1. Enrollment Process:
  • Complete the online registration form or visit our physical offices.
  • Provide accurate and up-to-date information.

6.1 Final Step: Await Confirmation Call: – A confirmation call ensures the authenticity of our community. – Essential for maintaining community security; your cooperation is appreciated.

6.2 Confirmation Call Policy: – If unreachable by phone or via email, membership may be deleted for security.  We appreciate your understanding and cooperation.

  • Option to opt out of promotional communications at any time.

  • Present membership details at the time of booking to avail of benefits.
  1. Termination of Membership:
  • Right to terminate or suspend membership for policy violations.
  • Members can voluntarily terminate by contacting in writing.
  1. Amendments to the Membership Policy:
  • Reserve the right to amend or modify the policy.
  • Members will be notified of changes through official channels.
  1. Privacy and Data Protection:
  • Customer data is handled confidentially, and used only for membership-related communication.
  • Adherence to relevant data protection laws.
  1. Cancellation Policy:
  • Members can cancel anytime via written email.
  • Membership fees are non-refundable.
